Office Manager/ Sales Assistant
Type: Full-time (40-hours/week)

Overview:

The Office Manager/ Sales Assistant is responsible for overseeing the daily needs of the office and business development department. Though this position is a supportive role, it is critical to the organization. You will work hand in hand with the CEO and upper management to create an organized and structured working environment for the team.  

Responsibilities:

  • Coordinating and facilitating requests with 3rd party vendors such as accounting, HR, property management, insurance, etc.   
  • Sorting and distributing the mail and greeting office visitors. 
  • Keeping the office supplied and organized. 
  • Handling filing and document coordination for new client accounts on spreadsheets as well as the workflow management system. 
  • Managing calendars for upper management, scheduling zoom meetings and in-person meetings, and taking notes during sales meetings. 
  • Creating and sending sales agreements to prospective clients. 
  • Booking travel accommodations for the team as needed.
  • Setting up, running, and reconciling client payments through the company payment portal systems.
  • Working in partnership with the CPA and assisting with billing and invoices
  • Managing bi-monthly collections and client cancellations.
  • Managing company account payables such as rent, employee reimbursements, contractor invoices, and bills. 

Qualifications Required:

  • 4+ years of office management experience
  • 4+ years experience with Google Drive (Gmail, calendar, etc.)
  • Proficient with Microsoft excel 
  • Must have strong interpersonal and communication skills (written and oral)
  • Experience with Adobe Sign, Merchant Payment Portals, Quickbooks, Canva, Monday.com is preferred but not required
